Education & Metropolitan Program Manager

$52,000 (Plus 10% Superannuation) per annum, pro rata
Position Description:
Primary Purpose
The primary purpose of this position is to ensure the success of the education and metropolitan components of the Orchestra’s Community Program by cultivating, negotiating and managing relationships with current and potential clients and partnership organizations, by ensuring relevant income and expense targets are met and by managing the implementation of all of the component programs in collaboration with the wider OV management team.
This position reports to the Community Program Manager.

Culture & Environment
In 2009, Orchestra Victoria’s Management team will comprise 19 members. Of these, 5 positions work within the Community Program team. The orchestra currently employs 69 full time musicians and a number of additional contract and casual players depending on program/repertoire needs.

This fixed term position has a significant regional travel component and will involve day travel to regional centres and overnight stays of 2 or 3 days to oversee the successful delivery of the mOVe! workshops.

Specific Roles & Responsibilities

Management of mOVe! Program
• Develop and maintain relationships with local and regional schools
• Manage expenditure budget and achieve agreed targets
• Locate, book and confirm venues
• Oversee all travel and accommodation bookings
• Engage the services of conductors and supervise the administration of contracts
• Supervise the preparation of paperwork for teachers, students and players
• Liaise with Orchestral Librarian in regards to part allocations
• Coordinate luncheons for supporters
• Attend and be the primary contact for Orchestra Victoria at all mOVe! workshops
• Supervision of attending staff involved in the mOVe! workshops

Management of Metropolitan Partner Concerts & Commercial Engagements
• Develop, support and manage relationships with current and potential partners
• Manage expenditure budget and achieve agreed targets
• Organise venue and negotiate hire arrangements
• Oversee all travel and accommodation bookings
• Supervise the administration of contracts
• Liaise with charity partners and negotiate financial arrangements based on budgetary expectations
• Oversee the preparation of marketing and promotional materials
• Coordinate VIP functions where applicable
• Attend and be the primary contact for Orchestra Victoria at all charity partner concerts
• Manage commercial engagements with Herald Sun Aria, 3MBS and other like organisations
• Assist in the coordination of special events including Embracing Arts concerts and donor events

Development
Support the Managing Director and Development Personnel in servicing, identifying and building long term relationships with government funding agencies, major donors, sponsors and trust companies

Preferred Qualifications & Experience
• Tertiary Music/Arts Management qualification or equivalent arts industry experience
• Program and budget management experience
• Sound knowledge of music and the music industry
• Music education experience an advantage
• Current Victorian driver’s licence

Feedback & Trial Review
Feedback from the Community Program Manager throughout the contract should be constructive, critical and timely. The Education & Metropolitan Program Manager will actively participate in the performance review procedure designed to monitor their individual and team performance, drawing on feedback from peers, subordinates and other key internal and external relationships.

Relationships
Reporting to: Community Program Manager
Work team: Communications Manager, Community Program Officer, Administration Officer

Key external relationships: Metropolitan and Community partner organisations, Music Educators and regional stakeholders, Support Managing Director in the cultivation and stewardship of relationships with key business, funding agencies and government contacts
